Team and roles

Invite people to work on your pages with their own login, and choose exactly what each role can do.

A team lets other people help with your pages without sharing your password. Each member logs in with their own QKAP account and can only do what their role allows.

Create your team

  1. Go to Dashboard → Team.
  2. Under Work on your pages together, enter a Team name.
  3. Tap Create team.

Your team then has five tabs: Members, Roles, Invites, Activity and Settings. There's also an Agencies chip, covered in Agencies.

Invite a member

  1. Open Dashboard → Team and tap Invite member.
  2. Enter their email and pick a role.
  3. Under Pages they can work on, choose All pages or only the pages they should touch.
  4. Send the invite.

They log in with their own QKAP account (or sign up) using that email. If email sending is set up, QKAP emails them the link. You can also copy the link and send it yourself on WhatsApp, DM or email. An invite link works once and expires in 7 days.

Tip: If a link expires, open the Invites tab and tap New link. You can also revoke an invite there, and the old link stops working.

A team can have up to 50 members, 30 roles and 50 open invites.

Built-in roles

Every new team starts with four roles. You can edit them later.

RoleWhat it's for
AdminEverything except billing and deleting the account.
EditorBuilds the page: posts, links, series, menus, appearance and products. No orders or buyer data.
Orders & supportHandles orders end to end: payments, fulfilment, delivery, buyers and their messages.
ViewerRead-only: orders and analytics.

Admin always has every permission, even ones added in the future, and can't lose Manage the team.

Create a custom role

  1. Open the Roles tab and tap New role.
  2. Give it a name and a Description.
  3. Tick exactly the permissions people with this role need.
  4. Tap Create role.

Changes to a role apply right away to everyone who has it. To delete a role, give its members another role first. Only the owner or an Admin can change roles.

The permissions

Permissions are grouped like this:

  • Page content: Edit posts, Edit links, Edit collections, Edit reel series, Edit appearance, Edit page layout, Edit profile, Edit cafe & restaurant.
  • Store: Manage store products, Manage discounts, Moderate reviews, Manage bookings, Change payment settings (UPI ID, payment links and checkout options).
  • Orders: See orders, Update orders, Fulfil and deliver, Export orders, See customers.
  • Audience and insight: See subscribers, Manage subscribers, Send emails, See analytics.
  • Inbox: See messages, Reply to messages, Manage the inbox.
  • Account: Manage pages (publish, unpublish and change handles; creating and deleting pages stays with the owner) and Manage the team.

Some permissions need another one too. For example, Reply to messages needs See messages, and Manage subscribers needs See subscribers.

Tip: Copying a buyer's private order link needs Fulfil and deliver or Update orders. See orders alone isn't enough, because the link opens what the buyer paid for.

If someone tries something their role doesn't allow, they see a message asking them to ask the page owner.

Manage members

On the Members tab, open a member's menu to:

  • Change role or pages
  • Suspend access (and later Reactivate)
  • Remove from team

Removing someone takes away access to your pages right away. Their own QKAP account isn't affected, and you can invite them again later.

Activity

The Activity tab lists team changes and what members edit on your pages, with who did it and when.

Working on someone else's team

If you're invited to a team, open their pages from the page switcher under Team pages. To leave, go to Dashboard → Team and use Leave team under Teams you're in.

Common questions

Does my team member need their own account?

Yes. Each person uses their own QKAP login, so you never share your password.

Can a member see my billing or delete my account?

No. Even Admin can't manage billing or delete the account. That stays with the owner.

What happens if I delete the team?

Go to Settings on the Team page. Deleting the team removes every member, role, invite and the activity log. Your pages aren't touched.

Can I limit someone to one page?

Yes. When you invite them or use Change role or pages, pick only that page under Pages they can work on.
