WhatsApp Order Message Templates for Instagram Sellers
Ready-to-use WhatsApp order messages for Instagram sellers: pre-filled order texts, payment requests, confirmations, shipping updates and polite follow-ups.
On this page
The simplest way to run WhatsApp orders from Instagram is to use a pre-filled first message, so every buyer arrives with the product already named, and then answer each stage with a short saved template: availability and price, payment request, payment received, order confirmed, dispatched with tracking, and a delivery check-in. Below are copy-ready templates for each stage, plus polite follow-ups and declines. Replace the words in square brackets with your own details.
Key takeaways
- A pre-filled first message saves a round of "Which one?" questions, because the buyer's chat opens with the product, price and post already written.
- Keep every reply to a few short lines: what you're confirming, what the buyer should do next, and by when.
- Ask for payment clearly, name the exact amount, and remind buyers you'll never ask for their UPI PIN.
- Save your templates as quick replies in the WhatsApp Business app and sort chats with labels such as New, Paid and Shipped.
- Once orders outgrow your chats, move buyers to a store checkout that collects quantity and delivery address and shows your UPI or payment link, so you only confirm payments.
Pre-filled first messages (by product type)
WhatsApp's own click-to-chat links can carry a message that appears in the buyer's text box, ready to send. According to the WhatsApp Help Center (as of October 2026), the format is a wa.me link with your full number in international format, without a plus sign, leading zeroes, brackets or dashes, and a ?text= part holding the message. For an Indian number such as 98765 43210, that's https://wa.me/919876543210?text= followed by your message, with each space written as %20. The buyer still taps send, so the message should sound like them, not like you.
Good pre-filled messages name the product and ask for the one detail you always need next. Some examples by product type:
- Clothing: "Hi! I'd like to order the [product name] from your post #[number]. My size is: "
- Jewellery and handmade gifts: "Hi! I'd like to order the [product name]. Is it available for delivery to PIN code: "
- Home bakes and food: "Hi! I'd like to order the [product name] for [date]. My delivery area is: "
- Custom orders: "Hi! I'm interested in a custom [product type]. My budget is around ₹ "
- Services and bookings: "Hi! I'd like to book a [service] slot. My preferred day is: "
On a QKAP page, every WhatsApp order button builds this message for you. Your own opening line comes first (up to 300 characters), then a details block with the product name, price, coupon, "From: @yourhandle · post #23", the link to the item and a short reference such as "Ref: Q23-P2". Order buttons also add "Quantity: 1", "Name:" and "Delivery PIN code:" lines for the buyer to fill in. You can switch the details block off per item if you'd rather keep it to your own text. Type your number with its country code, such as +91 98765 43210; a bare 10-digit number is treated as Indian. Setup is covered in how to take WhatsApp orders from Instagram and on the WhatsApp and call orders feature page, and our guide to a WhatsApp button with a pre-filled message shows more wording.
Reply templates for each order stage
Availability and price
Hi [Name]! Yes, the [product] is available. It's ₹[price] plus ₹[delivery fee] delivery to [PIN code], so ₹[total] in all. Shall I reserve one for you?
Payment request (UPI)
Great, I've reserved it for you until [time]. Please pay ₹[total] to UPI ID [yourname@bank] or scan the QR I'm sending next. Once paid, just reply with the UTR or transaction number. I'll never ask for your UPI PIN or an OTP.
Payment received
Thank you, [Name]! I've received ₹[total] (UTR ending [last 4 digits]). Your order is confirmed. Could you send your full delivery address with PIN code and a phone number for the courier?
Order confirmed
Order confirmed: [product], quantity [1], delivering to [city, PIN code]. I'll pack it by [day] and send the tracking link as soon as it's dispatched.
Dispatched with tracking
Hi [Name]! Your [product] has shipped with [courier]. Tracking number: [number]. Track it here: [tracking link]. It usually takes [3 to 5] working days to reach [city].
Delivered
Hi [Name]! Tracking shows your order as delivered. I hope you love it! If anything is wrong, reply here and I'll sort it out.
Review request
So glad the [product] reached you safely! If you have a minute, would you share an honest review or a photo? It really helps other buyers decide. No pressure at all.
Ask for honest feedback only, never for a positive review in exchange for a discount. If you post a buyer's photo or words on Instagram, ask their permission first.
Polite follow-ups and declines
Most awkward moments in a WhatsApp shop are about money, stock or silence. A calm template takes the sting out of all three.
- No reply after you quoted a price: "Hi [Name], just checking whether you'd still like the [product]. I'm holding one for you until [time] today, then I'll release it. No worries either way!"
- Payment still pending: "Hi [Name], a gentle reminder that your [product] is reserved until [time]. Here's the UPI ID again: [UPI ID]. Let me know if you'd like to cancel instead."
- Out of stock: "So sorry, [Name], the [product] has just sold out. I can let you know when the next batch is ready, or suggest [similar product] which is in stock now."
- Can't deliver to that PIN code: "I'm sorry, my courier doesn't deliver to [PIN code] yet. If you have an address in another city, such as a friend's or your office, I'm happy to ship there."
- Asking for a discount: "I keep prices the same for everyone so it's fair, but I do share codes with my email list and in my stories during sales."
- A custom request you can't take: "Thank you for thinking of me! I'm not able to take custom orders this month, but I'll post in my stories when I open slots again."
Saving them as WhatsApp Business quick replies
Retyping these messages is where WhatsApp selling eats your evenings. As of October 2026, WhatsApp's Business app features page lists quick replies (shortcuts for messages you send often), labels to organise and filter chats, a greeting message for new customers and an away message for when you're offline, all inside the Business app.
- Save each template above as a quick reply with a short, memorable name: price, pay, paid, confirm, shipped, delivered, review.
- Leave the square-bracket parts in, so you're reminded to replace them before sending.
- Create labels that match your stages, such as New, Awaiting payment, Paid, Shipped and Done, and move each chat along as the order progresses.
- Write a greeting message that sets expectations, for example your reply hours and typical dispatch time.
- Set an away message for nights and holidays so buyers aren't left wondering.
WhatsApp's help pages explain the current steps for each feature on your phone. If you want caption ideas to send people to these chats in the first place, see our caption formulas for product posts.
When to move buyers to a store order instead
WhatsApp is perfect when you have a few orders a day and buyers like to chat. It gets harder when you're copying addresses into notebooks, chasing screenshots and forgetting who has paid. Signs it's time for a store checkout:
- Buyers keep asking the same three questions before ordering.
- You sell digital products that should arrive automatically, not by hand.
- You lose track of who has paid, or a launch day brings more chats than you can answer.
- You want buyers to choose quantity, enter a PIN code and pay without waiting for you.
A QKAP store handles that part while keeping the money with you. Physical products take quantity, stock and a delivery address with PIN code, buyers pay you directly by UPI or your own payment link, and you confirm the payment in Orders. From there you track fulfilment (processing, shipped, delivered), add the courier and tracking number, and send ready-made WhatsApp messages such as "your order has shipped" in one tap from Orders and customers. Some sellers keep both: chat for questions and custom orders, a store for everything else. If buyers prefer to phone, our guide to call-to-order buttons explains when that helps. Frequently asked questions
What should a pre-filled message say?
It should name the product, where the buyer saw it (such as a post number) and ask for the one detail you always need next, like size or PIN code. Keep it in the buyer's voice, because they're the one sending it. On QKAP, the product, price, post number and a reference are added for you.
How do I ask for payment politely?
State the exact total, give your UPI ID or QR code, and say how long you'll hold the item. Ask buyers to reply with the UTR or transaction number rather than only a screenshot, which makes matching payments easier. Reassure them you'll never ask for a UPI PIN or OTP.
Can I send tracking links on WhatsApp?
Yes. Paste the courier's tracking link along with the tracking number, since some buyers prefer to check on the courier's own site. In a QKAP store, the "shipped" message you send from Orders already includes the courier and tracking details you entered.
Do I need the WhatsApp Business API for this?
Usually not. For one seller replying by hand, the WhatsApp Business app covers quick replies, labels, greeting and away messages. According to Meta's pricing page (as of October 2026), the WhatsApp Business Platform (the API) charges per template message, at rates that depend on the message category and the buyer's country. Most businesses reach the API through a provider with its own plans, so check the provider's pricing page too. The templates in this guide are plain text you save as quick replies, which is different from paid API template messages.
Is it okay to ask every buyer for a review?
Yes, once, politely, after delivery. Don't offer discounts or freebies in exchange for positive reviews, and never post a buyer's message or photo without asking.
