How to Bulk-Confirm UPI Payments After a Busy Launch Day
A simple routine for confirming many UPI payments at once: match amounts and UTRs, use bulk Mark as paid, chase unpaid orders on WhatsApp and export your records.
On this page
To bulk-confirm UPI payments without mistakes, open your UPI or bank app beside your Orders list, match each "I've paid" order to a real credit by amount and UTR, tick the ones that match, and confirm them together with bulk Mark as paid. On QKAP, the Unpaid filter puts buyers who've said they paid at the top, so you work through the orders that need you first. Anything you can't match stays unpaid until you've checked, and buyers who haven't paid at all can get a polite WhatsApp reminder from the same screen.
Key takeaways
- Direct UPI payments land in your account, so only you can confirm them; batching makes that fast.
- Always match against your own UPI or bank app, never a screenshot.
- The UTR (UPI transaction reference) is the most reliable way to tell two same-amount payments apart.
- Bulk Mark as paid confirms up to 50 orders at once and unlocks every buyer's purchase.
- Export your orders to CSV for month-end reconciliation and your accountant.
Why payments need confirming at all
When buyers pay you through UPI directly, the money moves from their bank to yours without passing through QKAP. That's why there's no per-sale cut, but it also means QKAP can't see the payment arrive. Instead, buyers tap I've paid and can enter their UTR, and you confirm the order when you see the money. Our guide to QKAP Store orders and payments explains the full flow.
On a normal day, confirming orders one at a time is fine. After a launch, a discount code or a reel that does well, you might wake up to dozens. That's where a routine and bulk confirmation help.
Before you start: get your two screens ready
You need:
- Your Orders list, filtered to Unpaid. Buyers who've tapped "I've paid" appear first.
- Your UPI or bank app's transaction history for the same period. Many UPI apps let you filter by date or amount, and some banks let you download a statement.
Working on a laptop with your bank statement on your phone, or vice versa, makes matching much easier than switching apps on one screen.
Step-by-step routine
1. Filter to what needs you
Open Orders and choose Unpaid. If you're handling a single launch, use the product filter to show only that product's orders. The counts on each filter tell you how many you're dealing with.
2. Match by UTR first
Expand an order to see the payment reference the buyer entered. Search for it in your UPI app or statement. A matching UTR with the right amount is the strongest possible match. Tick that order.
3. Match the rest by amount, time and name
Not every buyer enters a UTR. For those, look for a credit of the exact amount around the time of the order, ideally with a payer name that matches the buyer's. Be careful when several buyers paid the same price at similar times. If you can't tell them apart, leave those orders unticked and ask the buyers for their UTR.
4. Confirm the batch
With the matching orders ticked, choose Mark as paid. If almost every buyer who says they've paid checks out, the Select all that say paid shortcut ticks them in one go; untick any you couldn't match before confirming. A confirmation step lists the order numbers and the total, which is a useful last check against your statement. Every ticked order is confirmed together, up to 50 at a time, and each buyer's page unlocks straight away: downloads open, course lessons become available, bookings are confirmed and memberships start.
5. Handle the leftovers
For orders where the buyer said they paid but you can't find the money, message them and ask for the UTR and the time of payment. For orders where nobody has paid, use Send payment reminder, which opens WhatsApp with a short, polite message including the order number, amount, your UPI ID and their order link.
6. Leave the rest to lapse
Some people start checkout and change their minds. You don't need to chase everyone. Unpaid orders are cancelled automatically after a week.
Matching tips that prevent mistakes
- Never confirm from a screenshot alone. Screenshots can be edited or reused. Your own statement is the only proof.
- Watch for partial payments. If someone paid ₹299 for a ₹399 product, ask about the difference before confirming. Discount codes and order bumps change totals, so check the order's amount, not the product's list price.
- Be wary of "collect requests". Legitimate buyers pay you; you shouldn't need to approve anything in your UPI app to receive money.
- Confirm in batches at set times, such as morning and evening, so buyers know roughly when to expect access. Say so on your product page.
- Keep a note of disputes. If a buyer insists they paid and you can't find it, ask them to check with their bank; failed or pending UPI transactions are usually reversed by the bank.
If you confirm one by mistake
If you mark an order paid and later find the money never arrived, you can revoke access on that order, which locks the content again. Contact the buyer first; it's often a simple mix-up.
Month-end: export and reconcile
At the end of each month, use Export CSV on the Paid filter to download your confirmed orders. Compare the total against the UPI credits in your bank statement for the same period. Small differences usually come from order bumps, discounts or refunds you made outside QKAP.
Keep these exports. They're useful for your own records and for your accountant if you need to account for GST or income tax; what applies depends on your situation, so check with a professional. Paid orders also have printable receipts with your business details if you've added them in Store settings.
Reducing the load next time
- Ask for the UTR in your product's FAQ or thank-you message, so more buyers enter it.
- Use a payment link from a provider such as Razorpay for buyers who prefer cards; those payments show up in that provider's dashboard with the buyer's details, which can be quicker to match.
- Stagger launches. A launch that closes at a set time concentrates the work; spreading offers over a few days spreads it out.
- Set expectations. "Access is confirmed within a few hours, 9 am to 9 pm" stops anxious "did it work?" messages.
If you're still setting up your first paid product, start with selling digital products with UPI.
Frequently asked questions
How many orders can I mark as paid at once?
Up to 50 orders in one bulk Mark as paid. If you have more, confirm them in batches.
What does the buyer see when I confirm?
Their private order page unlocks immediately, with their files, lessons, booking details or membership access, depending on what they bought.
Can I find orders for just one product?
Yes. Use the product filter on the Orders page. The counts on each filter update to match.
What should I do if a UTR doesn't match anything?
Don't confirm it. Ask the buyer to double-check the UTR and the time they paid, and search your statement again. If the payment failed, their bank usually reverses it.
Next time a reel takes off, set aside twenty minutes, open your statement beside Orders, and work through the Unpaid list top to bottom. Your buyers get their purchases sooner, and your records stay clean.
