Most creators should keep Instagram DMs open, because that's where brands already are; add ManyChat only if you need to automate high-volume DM replies; and add a structured inbox like QKAP's when sponsorship pitches keep getting lost among message requests. The three tools solve different problems, so the best setup is usually a combination, with one clear instruction in your bio telling brands which route you prefer.
Key takeaways
- Instagram's professional inbox is free and built in, with Primary, General and Requests folders, saved replies and, where available, a partnership messages folder.
- ManyChat automates Instagram DM conversations, such as sending a link when someone comments a keyword. As of October 2026 its Free plan covers 25 active contacts a month and its Pro plan starts at $29 a month billed yearly.
- QKAP's inbox is a "Message me" or "Partnerships" button on your link-in-bio page that collects requests sorted by type, with brand name, offer and budget fields. It's free on every QKAP plan.
- QKAP's inbox doesn't read or send Instagram DMs, and ManyChat isn't a brand-deal intake form; they don't replace each other.
- Disclosure: QKAP is our product. We've tried to describe each option by what its own documentation says.
How we compared
We compared the three options on seven criteria that matter for brand deals: where brands find you, how messages are sorted, spam control, team access, privacy, records and export, and cost. Facts about Instagram and ManyChat come from their official help centres and Meta's developer documentation, checked on 17 October 2026, and are listed under Sources at the end. Prices and features change, so treat everything here as "as of October 2026" and check each tool before deciding.
QKAP is our product, which is a bias. To limit it, we say plainly where Instagram or ManyChat does something QKAP doesn't, and we don't claim QKAP features that aren't live.
Instagram DMs for brand deals: strengths and limits
Instagram's professional inbox is available to business and creator accounts in the Instagram app. It splits conversations into Primary, General and Requests. Primary has notifications on by default; General has them off, and you can swipe messages from Primary to General. Requests hold DMs from accounts you don't follow; a request isn't marked as seen until you accept it, and "Top requests" sorts requests from important accounts first. Messages caught by Hidden Words or flagged as spam go into Requests as hidden requests.
You can filter unread or flagged threads, flag or mark messages unread, and save replies you use often as shortcuts. Brands in Instagram's branded content programme can also send partnership messages to creators who've opted into partner discovery; these appear in their own folder. Instagram notes the feature may not be available to everyone yet.
Strengths: it's free, brands already use it, and nothing needs setting up.
Limits: brand mail sits alongside fan DMs, there are no structured fields such as budget or offer type, there's no CSV export, and there are no per-person team permissions for the inbox. If a pitch lands in Requests and you don't check it for a week, it's easy to miss.
ManyChat: what DM automation does well and what it costs
ManyChat automates conversations on Instagram and other messaging channels. Its help centre describes it as an official Meta Business Partner, fully approved for use on Instagram. Typical automations include starting a conversation when someone comments on a post or reel, a welcome message, auto-replies to story replies and answers to common DMs. Our guide to the comment-for-link tactic covers when that approach helps.
Every tool on Meta's official API must follow the same rules for automated replies to comments, according to Meta's developer documentation: one private reply per commenter, sent within 7 days of the comment, with follow-ups only after the person responds, within 24 hours of that response.
Pricing as of October 2026, from ManyChat's help centre (ManyChat introduced a new pricing model on 2 March 2026 and says plans may vary by region):
- Free: $0, up to 25 active contacts per month, 1 user and 1 inbox seat, up to 2 channels and up to 4 live automations. A "Powered by Manychat" message appears the first time you message a contact.
- Pro: $39 a month billed monthly, or $29 a month on an annual subscription billed yearly, with a 14-day free trial. It includes up to 2,500 active contacts per month, 3 users and 2 inbox seats, and unlimited automations.
For other plans, check ManyChat's pricing page.
Strengths: automating repetitive DM replies at scale inside Instagram, with team seats on Pro.
Limits: it automates your existing DMs; it doesn't give brands a separate, structured way to pitch you, and the Free plan's 25 active contacts a month is small for a busy account.
QKAP inbox: sorted requests, brand details, logged-in senders, team replies
QKAP's inbox adds a button under your bio, or as the first item in your floating button menu, labelled Message me, Contact me, Partnerships, Sponsorships, Collabs or your own text. You choose which request types to offer: General, Partnership, Sponsorship, Collab, Product question and Other. Partnership, sponsorship and collab requests can include the brand name, website, the offer (paid, gifted product or barter, affiliate or commission, or not decided yet) and a budget.
In your dashboard you get views for All, Unread, Starred, Archived and Blocked, plus search, starring, archiving, marking as spam, blocking and CSV export. You can save up to 10 quick replies, where {name} fills in the sender's first name, and set an optional auto-reply for new conversations.
Senders log in with a free QKAP account and read your replies under Account → Messages; their email is shown to you only if they choose to share it. Rate limits apply per sender, and a follower marked as spam by three different creators in 30 days can't start new conversations. On a team, you can give people See messages, Reply or Manage the inbox permissions.
Strengths: structured brand details, separation from fan DMs, team access and export, free on every QKAP plan.
Limits: it doesn't connect to Instagram DMs or email, it doesn't take attachments, and senders must log in, which some brand managers won't do. It's also off until you switch it on.

Which setup fits you: solo creator, managed creator or agency
A creator with about 10,000 followers
Keep Instagram DMs as the main route and check Requests twice a week. Turn on QKAP's inbox with a "Partnerships" button so brands that visit your page have a tidy way in. ManyChat is optional at this size; if you want a keyword flow, check whether the Free plan's 25 active contacts a month would cover it.
A creator with 200,000 followers and a manager
DMs become noisy. Point brands to the QKAP inbox in your bio and give your manager Reply access, so they can answer pitches without your Instagram password. If you run comment-to-DM campaigns, compare your expected volume with ManyChat Pro's limits (up to 2,500 active contacts a month and 3 users, as of October 2026), and check ManyChat's pricing page if you need more.
An agency
An agency needs one place to see many creators' requests. QKAP's agency accounts include a unified inbox across client pages, with replies sent as the page; agency pricing is custom. Enterprise influencer platforms may still suit large agencies better for discovery, contracts and payouts.
Using them together without confusing brands
- Pick one preferred route and say it in your bio, for example "Brand collabs: tap Partnerships on my link".
- Set a saved reply in Instagram that points brands to the same place, so DM pitches get a consistent answer.
- Use the QKAP auto-reply to say when you typically respond and what details help.
- Keep a business email listed for brands that prefer email.
For what to say once a brand gets in touch, see how to land direct affiliate partnerships, and for keeping deals visible to followers, Instagram broadcast channels for deals.
Frequently asked questions
Can QKAP read my Instagram DMs?
No. QKAP's inbox is separate from Instagram and doesn't connect to your DMs or email. It collects messages sent through the button on your QKAP page.
Is ManyChat allowed on Instagram?
ManyChat's help centre describes it as an official Meta Business Partner, fully approved for use on Instagram, as of October 2026. Like every tool on Meta's API, it must follow Meta's private-reply rules, such as one reply per commenter within 7 days.
Which option is free?
Instagram DMs are free. QKAP's inbox is free on every QKAP plan. ManyChat has a Free plan with up to 25 active contacts a month; paid plans cost more, so check its pricing page.
Will brands use a link-in-bio inbox?
Some will, especially if your bio tells them it's your preferred route. A QKAP inbox asks senders to log in with a free account, and some brand managers would rather use email or DMs, so keep a business email visible as a fallback.
Do I need all three?
No. A practical starting point is Instagram DMs plus one structured route, such as a QKAP inbox button or a business email. Add DM automation like ManyChat only when repetitive DMs take real time.
