# WhatsApp Business Catalog vs a Link-in-Bio Store: Which to Use?

> Compare WhatsApp Business catalogues with a link-in-bio store for selling from Instagram: browsing, payments, order tracking, discoverability and effort.

A WhatsApp Business catalogue is the simplest shop window for customers who are already chatting with you: it is built into the WhatsApp Business app, holds up to 500 items and lets people send you a cart. A link-in-bio store suits Instagram visitors better, because they can browse from your bio, pay you and get an order recorded without waiting for you to reply. Many small sellers in India can get the best of both by using the store as their bio link, with a WhatsApp button for questions, and keeping the catalogue for people already in their chats.

## Key takeaways

- The WhatsApp Business catalogue (as of October 2026) holds up to 500 items, each with up to 10 photos or videos, and customers can send a cart to your chat.
- On the WhatsApp Business app, payment still happens in the conversation: WhatsApp's help describes customers sending the cart and discussing payment options with you.
- Paying inside WhatsApp in India is a WhatsApp Business Platform (API) feature that runs through partner payment gateways, so it needs a provider and setup.
- A link-in-bio store like QKAP lets Instagram visitors find the product from a reel, pay you by UPI or your own payment link, and gives you order statuses, stock counts and buyer records.
- QKAP is our product. It does not sync with your WhatsApp catalogue; its WhatsApp buttons open a normal chat with the order details already typed.

## How we compared

We looked at the jobs a small seller does every day: letting people browse, taking payment, tracking what has shipped, keeping stock right, remembering who bought what, and how much typing each order takes. WhatsApp facts come from WhatsApp's Help Center, the WhatsApp Business website and Meta's developer documentation, all checked in October 2026 and listed under Sources. QKAP facts come from our own product.

QKAP is our product, so read this with that bias in mind. We say where WhatsApp does the job better. Availability can also vary: WhatsApp's own shopping help notes that "some of these features may not be available to you yet", so check what your app shows.

## What the WhatsApp Business catalogue does (as of October 2026)

The catalogue is a product list inside the WhatsApp Business app. According to WhatsApp's own pages, you can:

- Upload up to 500 items, each with up to 10 photos or videos.
- Give every item a title, plus an optional price, description, website link and product code.
- Sort items into collections and categories, and hide items, for example when they are out of stock.
- Share the whole catalogue, a collection or a single item inside a chat, or send catalogue links.

Customers can add items to a cart and send that cart to their chat with you. From there, WhatsApp's Help Center says they "discuss payment options" with the business. In practice you reply with a UPI ID, a QR code or a payment link, ask for the delivery address and keep track of the order yourself. The Business app's greeting and away messages, quick replies and labels help, but the pages we checked describe no separate order-tracking screen.

### What about paying inside WhatsApp?

Meta's developer documentation describes in-chat payments for Indian businesses on the WhatsApp Business Platform. Customers can pay through partner gateways (BillDesk, Razorpay, PayU and Zaakpay) without leaving WhatsApp, in rupees, by UPI, card, wallet or net banking. That is an API feature: you reach it through a business solution provider and a payment gateway, and Meta charges per template message on the platform. For a seller replying by hand on the Business app, sharing a UPI ID in the chat is still the usual way to get paid.

## What a link-in-bio store does (QKAP)

A link-in-bio store is a page people reach from the link in your Instagram profile. On QKAP that page is a grid of [numbered posts](https://qkap.app/features/numbered-posts) that mirror your reels, plus a store. A follower who watched reel #23 can tap the tile, or type "23" in the page search, and land on the products from that video.

For physical products, the QKAP store gives you:

- **Stock and quantity.** A stock limit per product and up to 20 units per order.
- **Delivery details.** The buyer enters a delivery address with PIN code, and you can add a delivery fee.
- **Payment straight to you.** Buyers pay by UPI QR or UPI app link to your own UPI ID, or through your own Razorpay, Stripe, PayPal or Gumroad link. They tap "I've paid", can add the UTR, and you confirm the payment in Orders. QKAP takes no commission and never holds the money.
- **Order statuses.** Unfulfilled, processing, shipped, delivered or returned, with the courier name and tracking number you type in, and a ready-made WhatsApp "shipped" message for the buyer.
- **Buyer records.** Orders and customers lists you can export as CSV. See [customers and orders](https://qkap.app/features/customers-and-orders).

Buyers need a free QKAP account to buy anything with a price, which is one extra step compared with a chat.

WhatsApp stays part of the flow. A post item can be a WhatsApp order button that opens a chat with your number and a pre-filled message: the item, price, post number, a short reference like "Ref: Q23-P2", and lines for quantity, name and delivery PIN code. The [WhatsApp and call orders](https://qkap.app/features/whatsapp-and-call-orders) page shows how these buttons work.

What QKAP does not do: it does not sync with your WhatsApp catalogue, use the WhatsApp Business API or create orders from chats. It also has no courier integration, label printing or cash on delivery.

## Side-by-side comparison

| What you need | WhatsApp Business catalogue (app) | Link-in-bio store (QKAP) |
|---|---|---|
| Browsing from Instagram | Visitors tap a WhatsApp button or catalogue link, then browse inside WhatsApp | Visitors tap your bio link and browse a grid that matches your reels |
| Product limit | Up to 500 items | Up to 100 store products per page on every plan; products inside posts capped at 30 on Free |
| Payments | Cart arrives in the chat; you share UPI or a payment link by hand | UPI QR, UPI app link or your own payment link; buyer marks it paid, you confirm |
| Order tracking | In the chat, organised with labels | Order statuses, courier and tracking number, "shipped" message template |
| Stock | Hide items when sold out | Stock count per product and a per-order quantity limit |
| Buyer records | Your chat history | Orders and customers lists with CSV export |
| Effort per order | Every order is a conversation | Fewer messages; you still confirm each payment |
| Cost | Part of the WhatsApp Business app; no catalogue fee listed on the WhatsApp pages we checked | Store included on the Free plan; Premium lifts the post limits (see [pricing](https://qkap.app/pricing)); no commission |

## Where each one wins

### Choose the catalogue when

- Most of your buyers already message you: repeat customers, local buyers or members of your WhatsApp community.
- Orders need a conversation anyway, such as custom cakes, made-to-order clothing or bulk enquiries.

### Choose a link-in-bio store when

- Most new buyers discover you through reels and arrive by tapping your bio link.
- You want people to pay and give their address without waiting for your reply at midnight.
- You need to see what is unpaid, what has shipped and what is stuck. QKAP flags unpaid orders after 48 hours and cancels them automatically after 7 days.
- You also share affiliate finds or digital products next to your own stock. Our explainer on [a shoppable link in bio](https://qkap.app/blog/shoppable-link-in-bio) covers the grid approach.

## A combined setup: catalogue for chats, store for the bio link

You don't have to choose. Here is a simple setup:

1. Put your QKAP page in your Instagram bio as the main link, so reel viewers land on products rather than an empty chat.
2. Add your ready-to-ship stock as store products with stock limits and a delivery fee, and add your UPI ID in Dashboard → Payments.
3. For made-to-order or "ask me first" items, use a WhatsApp order button instead, so the chat opens with the item, post number and reference already typed.
4. Add WhatsApp under Social & contact, or as a floating button, for general questions before people buy.
5. Keep your WhatsApp Business catalogue for people already chatting with you, and share items from it during conversations.
6. Track chat orders with WhatsApp labels and store orders with QKAP statuses, and check both at a fixed time each day.

For the chat side in more depth, read [how to take WhatsApp orders from Instagram](https://qkap.app/blog/whatsapp-orders-from-instagram). If you are also weighing Instagram's own shopping features, see [Instagram Shop vs a link-in-bio page](https://qkap.app/blog/instagram-shop-vs-link-in-bio).

## The verdict

If your sales already happen in WhatsApp chats, the catalogue is a low-effort upgrade to sending photos one by one. If your sales start with a reel, a link-in-bio store removes the wait between "I want this" and "I've paid". Many Instagram sellers benefit from using both.

## Frequently asked questions

### Can customers pay inside WhatsApp in India?

Yes, on the WhatsApp Business Platform (API), where Indian businesses can take payment through partner gateways such as Razorpay, PayU, BillDesk and Zaakpay, as of October 2026. On the WhatsApp Business app, WhatsApp's help describes customers sending their cart to the chat and discussing payment with you. On the app, sellers still share a UPI ID or payment link in the chat.

### How many products fit in a WhatsApp Business catalogue?

WhatsApp's resource page says you can upload up to 500 items, with up to 10 photos or videos per item, as of October 2026. You can group items into collections and hide items that are out of stock.

### Do I need both a catalogue and a link-in-bio store?

No, but they do different jobs. The catalogue works best for people already chatting with you, while a store works best for people arriving from your Instagram bio who want to browse and pay on their own. If you only pick one, choose based on where most of your orders start.

### Can QKAP import or sync my WhatsApp catalogue?

No. QKAP does not connect to the WhatsApp Business app or API, so you add products to QKAP separately. QKAP's WhatsApp buttons simply open a chat with your number and a pre-filled message.

### Do QKAP's WhatsApp buttons work with the WhatsApp Business app?

Yes. The buttons build a standard WhatsApp click-to-chat link to your number, so the chat lands in whichever WhatsApp app that number uses. Write the number with the country code, such as +91, so the link opens the right chat.
