# Best Brand Deal Management Tools for Solo Creators in 2026

> From a spreadsheet to Notion, Beacons and Passionfroot: brand deal tools ranked for solo creators on tracking, invoices, intake and cost, with our method shown.

Most solo creators can manage brand deals well with a spreadsheet or a Notion board plus one place where enquiries arrive. Dedicated tools such as Beacons, Passionfroot or Kitly start to pay off once you handle several deals a month, or want your media kit, invoices and deal tracking in one place. In India, add a GST-ready invoice tool such as Zoho Invoice. Below we rank the main options for solo creators and explain exactly how we ranked them.

## Key takeaways

- **Notion and Google Sheets rank first and second.** For under five deals a month, a free tracker you actually update beats a feature-heavy tool you don't.
- **Beacons is the strongest dedicated option we checked.** As of October 2026, its pricing page lists a media kit, rate cards and invoices on every plan, Free included, plus a contact form for inbound brand interest.
- **Passionfroot suits sponsorship-led creators** (newsletters, YouTube, LinkedIn). It's free for creators, with fees on deals.
- **QKAP (our product) covers intake, not deal management.** Its inbox collects structured brand requests, but it doesn't track deal stages, contracts or invoices.
- Indian creators can send GST invoices with Zoho Invoice, which says it's free for Indian businesses. Ask an accountant whether you need GST registration.

## What a brand deal tool needs to do

A brand deal moves through a few stages: enquiry, negotiation, agreed terms, content delivered, invoice sent and payment received. A brand deal management tool, sometimes called an influencer CRM, keeps every deal visible at its current stage so nothing slips. Even a simple setup should answer three questions at a glance: what's due this week, who owes you money and which brands are waiting on a reply.

## How we ranked

We ranked tools for a solo creator, not a team or agency, using six weighted criteria:

| Criterion | Weight | What we looked for |
|---|---|---|
| Pipeline tracking | 25% | Can you see every deal's stage and due date? |
| Cost | 20% | Free plan, subscription, or fees on deals |
| Intake | 15% | Does it capture enquiries, or do you copy them in? |
| Invoices and payments | 15% | Can you bill brands from it? |
| India-friendliness | 15% | GST invoices, UPI, rupee pricing |
| Contracts | 10% | Somewhere to keep agreed terms |

**Method.** On 17 October 2026 we read each tool's official pricing page and help centre. We use QKAP hands-on because we build it. Where a page doesn't say something, we tell you to check rather than guess. The ranks are our judgement against these weights, not a precise score.

**Our bias.** QKAP is our product. We included it because creators ask whether its inbox can manage deals. It can't track deal stages, so it ranks last here, as an intake tool rather than a deal manager.

## The best brand deal management tools, ranked

### 1. Notion

**Best for:** most solo creators who want a free, flexible deal board.

**Strengths:** As of October 2026, Notion's pricing page lists a Free plan with unlimited blocks for individuals, up to 10 guests, file uploads up to 5 MB each and 7 days of page history. Its template gallery includes creator templates such as "Brand Deal Tracker for Creators" and "Creator CRM", so you don't have to start from a blank page.

**Limits:** Notion doesn't capture enquiries or send invoices, so you still copy deals in from DMs and email. Check each template's page to see whether it's free.

### 2. Google Sheets

**Best for:** creators who want the simplest possible tracker.

**Strengths:** It works with an ordinary Google account, and a Google Account includes up to 15 GB of storage shared across Gmail, Drive and Photos, according to Google One's help page. One row per deal, with columns for each stage, is enough for most creators.

**Limits:** It has no intake, reminders or invoices unless you build them yourself.

### 3. Beacons

**Best for:** creators who want a media kit, rate cards, invoices and an enquiry form in one tool.

**Strengths:** As of October 2026, Beacons' pricing page lists these brand-deal features on all four plans, Free included: a media kit that updates daily from linked social accounts, rate cards, a pricing calculator, invoices, past projects and gated media-kit access. It also lists a contact form to collect inbound interest from visitors. Its changelog lists an email-based brand-deal inbox (January 2024) and an AI Brand-Deal Inbox (January 2026) that organises deal emails and drafts replies.

**Limits:** The pricing table doesn't say which plan the AI Brand-Deal Inbox needs, or clearly which plans include the contact form. Beacons lists a 9% seller fee on the Free and Creator plans, which applies if you also sell products there. If you bill Indian brands, check whether its invoices meet your GST requirements.

**Price note:** Free $0; Creator $10/month or $100/year; Creator Plus $30/month or $300/year (Beacons pricing page, as of October 2026).

### 4. Passionfroot

**Best for:** sponsorship-led creators such as newsletter writers and YouTubers.

**Strengths:** As of October 2026, Passionfroot's creator pricing page lists a $0 plan with a media kit with live stats, calendar and scheduling, booking forms, automated workflows, payments and messaging. Brands can book sponsorship slots from your storefront.

**Limits:** Its help centre lists a 5% fee charged to the brand on deals you bring in, and a 15% sourcing fee deducted from your payout on deals that come from its Partner Network. That article carries a "Pricing as of Feb 2024" footnote, so check the current terms. We couldn't confirm payout methods for India.

### 5. Airtable

**Best for:** creators who outgrow a Notion board and want a structured database.

**Strengths:** As of October 2026, Airtable's support page lists a Free plan with 1,000 records per base, 1 GB of attachment storage per base and 5 collaborators with Editor or Creator permissions. That's plenty for a personal deal pipeline.

**Limits:** Like Notion, it doesn't capture enquiries or send invoices. Airtable lists paid plans at $20 (Team) and $45 (Business) per user per month, billed annually.

### 6. Kitly

**Best for:** creators who want a live media kit and campaign tracker in one app.

**Strengths:** Kitly says it offers a live media kit with insights pulled from your social profiles, a campaign and deliverables manager, post-campaign reports for brands, and invoice generation that reconciles with Xero, QuickBooks and others. It lists a $0 tier.

**Limits:** We couldn't confirm Kitly's current paid prices from its site, so check them in the app. Indian creators should also check whether its invoices suit GST billing.

### 7. QKAP inbox (our product, intake only)

**Best for:** catching structured brand enquiries before they get lost in DMs.

**Strengths:** A button on your QKAP page lets brands send a Partnership, Sponsorship or Collab request with their brand name, website, offer type (Paid, Gifted product or barter, Affiliate or commission, or Not decided yet) and budget. You can star, archive and search requests, reply with quick replies, and export to CSV to paste into your tracker. It's included on every plan, Free included. See the [inbox feature page](https://qkap.app/features/inbox).

**Limits:** There are no deal stages, contracts, invoices for brand deals or media kit. Brands need a free QKAP account to message you.

## A minimal stack for under five deals a month

1. **One intake point.** Pick one route for brands, such as an inbox or contact form on your bio page or a business email on Instagram's Contact button, and point every brand to it.
2. **One tracker.** In Notion or Google Sheets, add columns for brand, contact, deliverables, agreed fee, content due date, invoice sent, payment due and status.
3. **Written terms.** Before you start, confirm deliverables, usage rights, dates and fee in writing, even if it's only an email reply, and link it from the deal row.
4. **One invoice tool.** Zoho Invoice says it's free for all Indian businesses and lists GST-compliant invoices, sending by email or WhatsApp, payment reminders and UPI collection. Check with your accountant on GST registration and TDS.
5. **A weekly 15-minute review.** Chase overdue invoices, reply to waiting brands and update stages.

## Frequently asked questions

### Do I need a CRM as a creator?

Not at first. With only a few deals a month, a spreadsheet or Notion board does the same job for free. Consider a dedicated tool when deals start slipping, invoices go unpaid without you noticing, or you want your media kit and invoices in one place.

### How do I invoice brands in India?

Use a tool that produces GST-compliant invoices, such as Zoho Invoice, which says it's free for Indian businesses as of October 2026. Whether you need GST registration, what your invoice must show and how TDS applies depend on your situation, so check with an accountant.

### Can QKAP track deal stages?

No. QKAP's inbox captures brand requests with structured details, and you can star, archive, search and export them, but it has no deal stages, contracts or brand invoices. Export the inbox to CSV and keep stages in Notion or a spreadsheet.

### Should I use an influencer marketplace instead?

A marketplace finds deals for you, while the tools above manage deals you already have. Some charge for that: as of October 2026, Collabstr's pricing page says creators pay a separate 15% fee on their payout, and Passionfroot's help centre lists a 15% sourcing fee on deals from its Partner Network. Compare those costs with finding brands yourself.

### What should a brand deal tracker include?

At minimum: brand, contact, deliverables, agreed fee, usage rights, content due date, invoice date, payment due date and status. Add a notes column for anything the brand changes mid-deal.
